These Terms & Conditions ("Terms") apply to all bookings made with Beeline Taxis 09 Limited (Company Registration No. 06798663) ("Beeline Taxis", "we", "our" or "us"), whether by telephone, online, through our mobile app or by any other booking method.

By making a booking with Beeline Taxis, you confirm that you have read, understood and agree to be bound by these Terms.

Nothing in these Terms excludes or limits any rights you may have under applicable UK consumer law.

Booking a Journey

Bookings may be made by telephone, online, through our mobile app or by any other booking method we make available.

A booking is not confirmed until it has been accepted by Beeline Taxis and confirmation has been provided by telephone, SMS, email or through our mobile application.

When making a booking, you are responsible for providing accurate and complete information, including:

  • Collection address
  • Destination
  • Date and time of travel
  • Contact telephone number
  • Number of passengers
  • Luggage requirements
  • Any accessibility requirements
  • Flight number (where applicable)

Failure to provide accurate or complete information may result in delays, additional charges, the allocation of an unsuitable vehicle or cancellation of your booking.

Customers are responsible for ensuring they can be contacted using the telephone number provided at the time of booking. If we are unable to contact you in connection with your booking, this may result in additional waiting charges, cancellation of the booking or the booking being treated as a No Show.

All bookings are subject to vehicle availability. We reserve the right to refuse or cancel a booking where it is reasonable to do so, including where the information provided is inaccurate or incomplete, the requested journey cannot be undertaken safely or lawfully, or suitable vehicles are unavailable.

Vehicle Requests

We will make every reasonable effort to provide the vehicle type requested at the time of booking. However, specific vehicle types, including estate cars, executive vehicles, MPVs and minibuses, cannot be guaranteed.

Where operationally necessary, we may substitute your requested vehicle with a suitable alternative of an equivalent or higher standard.

Customers are responsible for accurately advising us of the number of passengers, the quantity of luggage and any accessibility requirements when making a booking. We cannot accept responsibility where insufficient or inaccurate information results in the allocated vehicle being unsuitable.

We reserve the right to refuse carriage where the number of passengers, luggage or other items cannot be carried safely or would cause the vehicle to exceed its licensed capacity or legal weight limits.

Fares, Payment & Service Area

Local fares are charged in accordance with the tariffs approved by the relevant local licensing authority.

Fixed-price quotations may be offered for airport transfers, long-distance journeys and certain pre-booked trips. Unless expressly confirmed as a fixed-price journey, all quotations are estimates based on the information provided at the time of booking and may be adjusted where journey details change.

Our services primarily operate throughout Sevenoaks, Tonbridge and the surrounding areas. Journeys beginning outside our normal operating area may incur an additional positioning charge. We may also require full or partial payment in advance before confirming these bookings.

Additional charges may apply where applicable, including:

  • Waiting time
  • Additional pick-up or drop-off points
  • Changes to the booked destination after the journey has commenced
  • Airport parking charges
  • Airport drop-off or access fees
  • Toll roads or congestion charges
  • Additional cleaning costs resulting from excessive soiling of the vehicle
  • Repair costs or other reasonable losses arising from damage caused by passengers

Payment may be made by cash, debit card, credit card, approved business account or any other payment method accepted by Beeline Taxis. All prices are quoted in Pounds Sterling (£).

Where payment is made by card, authorisation does not guarantee settlement. If a payment is declined, reversed or later subject to a chargeback, the customer remains responsible for payment of the outstanding fare.

We reserve the right to refuse or cancel a booking where payment cannot be authorised or where advance payment requested by us has not been received.

Waiting Time

Waiting time is charged in accordance with the applicable local authority tariff or any agreed fixed-price terms.

For immediate bookings, waiting time may be charged once the driver has been waiting for five minutes after arriving at the agreed collection point.

For pre-booked journeys, waiting time may be charged from the scheduled collection time if the passenger is not ready to travel.

Where possible, drivers will make reasonable efforts to contact the customer upon arrival. Customers are responsible for ensuring they are available and can be contacted using the telephone number provided when making the booking.

If the passenger is not ready to travel within a reasonable period, or cannot be contacted, the booking may be treated as a No Show in accordance with these Terms.

Airport Transfers

Customers booking an airport collection must provide a valid flight number at the time of booking. Where a valid flight number is provided, we will monitor the flight and make reasonable efforts to adjust the collection time if the flight arrives early or is delayed.

We include up to one hour's complimentary waiting timefrom the flight's actual landing time. After this period, waiting time will be charged in accordance with the applicable tariff.

Unless otherwise agreed, your driver will meet you in the airport Arrivals Hall. If you are unable to locate your driver, you must contact our office immediately on 01732 456214. Please do not contact us via WhatsApp, as this service is not monitored and messages will not be seen to assist with your booking. For non-urgent enquiries, please email email@beelinetaxis.net.

We cannot accept responsibility for missed collections, additional waiting charges or any other costs where:

  • incorrect or incomplete flight information has been provided;
  • we are not contacted promptly if you cannot locate your driver;
  • you leave the airport without first contacting our office;
  • you provide incorrect or incomplete information regarding passenger numbers or luggage requirements; or
  • delays are caused by immigration, customs, baggage reclaim or any other circumstances beyond our reasonable control after the flight has landed.

We recommend that customers book airport journeys allowing sufficient time for airline check-in, security requirements and potential traffic delays. Responsibility for selecting an appropriate collection time rests with the customer.

Airport parking charges and any applicable airport drop-off or access fees may be added to your fare where applicable.

Cancellations & Refunds

Pre-paid bookings may be cancelled free of charge up to two hours before the scheduled collection time. Where payment has already been taken, eligible refunds will normally be processed within 10 working days using the original payment method.

No refund (or only a partial refund) may be payable where:

  • incorrect or incomplete booking information has been supplied;
  • the booking is cancelled less than two hours before the scheduled collection time;
  • the driver has already been dispatched;
  • the passenger fails to attend the agreed collection point (a No Show);
  • the passenger cannot be contacted using the contact details provided;
  • the passenger refuses to travel after the driver has arrived; or
  • the journey has already commenced.

Where a booking has been cancelled after a driver has been dispatched or where waiting time has been incurred, we reserve the right to deduct any applicable charges before issuing any refund.

Nothing in this section affects your statutory rights under applicable UK consumer law.

Passenger Responsibilities

Passengers must behave in a safe, respectful and lawful manner throughout the journey. Drivers may refuse to carry a passenger or terminate a journey where a passenger:

  • behaves abusively, aggressively or threatens the driver;
  • puts the safety of themselves, the driver, other passengers or other road users at risk;
  • smokes, vapes or uses electronic cigarettes inside the vehicle;
  • consumes illegal drugs, drinks alcohol or behaves in a manner that may endanger the driver, vehicle or other passengers;
  • attempts to carry more passengers than the vehicle is licensed to carry;
  • brings luggage or other items that cannot be safely accommodated within the vehicle; or
  • refuses to wear a seatbelt where required by law, unless exempt.

Passengers are responsible for the reasonable cost of repairing any damage they cause to the vehicle, together with any reasonable cleaning costs arising from excessive soiling during the journey. Where excessive soiling or damage results in the vehicle being temporarily unavailable for service, we also reserve the right to recover any other reasonable losses directly resulting from the incident.

Beeline Taxis reserves the right to refuse, cancel or terminate any booking where it is reasonable to do so for safety, operational or legal reasons.

Children & Passenger Safety

Children under the age of 16 should be accompanied by a responsible adult unless alternative arrangements have been agreed in advance.

Beeline Taxis does not routinely supply child seats or booster seats. Under UK law, licensed taxis and private hire vehicles are exempt from the general requirement to provide child seats in certain circumstances. Customers who wish to use a child seat or booster seat are welcome to provide one and are responsible for ensuring it is suitable for their child and correctly fitted before the journey begins.

All passengers must wear seatbelts where fitted and as required by UK law.

Lost Property

Whilst every reasonable effort will be made to locate and return property left in our vehicles, Beeline Taxis cannot guarantee the recovery of lost property and shall not be liable for any loss of or damage to items left in a vehicle. Customers are responsible for ensuring they have removed all personal belongings before leaving the vehicle.

A reasonable administration, storage and/or delivery charge may apply when returning lost property.

Delays

We aim to provide a punctual and reliable service at all times. However, whilst we will make every reasonable effort to meet agreed collection and arrival times, we cannot guarantee them and shall not be liable for delays caused by circumstances beyond our reasonable control, including but not limited to:

  • Traffic congestion
  • Road closures
  • Severe weather
  • Vehicle breakdown
  • Accidents
  • Emergency services activity
  • Public events
  • Diversions
  • Industrial action
  • Any other unforeseen circumstances beyond our reasonable control

Customers travelling to airports, ports, railway stations, medical appointments or other time-sensitive engagements are responsible for allowing sufficient time for unforeseen delays.

Business Account Customers

Where transport is provided on a business or account basis, invoices must be paid in accordance with the agreed account terms. Unless otherwise agreed in writing, payment is due within 15 days of the invoice date.

We reserve the right to suspend or withdraw account facilities where invoices remain unpaid beyond the agreed payment terms and reserve the right to charge statutory interest and compensation on overdue commercial debts in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

Driver Status

Journeys arranged by Beeline Taxis are undertaken by appropriately licensed drivers operating under licences issued by the relevant local licensing authority. Beeline Taxis acts as a licensed booking and dispatch service and allocates bookings to available licensed drivers.

Complaints

We are committed to providing a high standard of service. If you are dissatisfied with any aspect of your booking or journey, please contact us as soon as reasonably possible so that we can investigate the matter.

We aim to acknowledge complaints within five working days and investigate them as quickly as reasonably possible. The time required to resolve a complaint may vary depending on its nature and complexity. Where appropriate, we may request additional information to assist with our investigation.

Complaints relating to licensed drivers may also be referred to the relevant local licensing authority where appropriate.

Privacy

We collect and process personal information in connection with the provision of our services. Details of how we collect, use, store and protect personal information are set out in our Privacy Policy, which forms part of these Terms. Personal information is processed in accordance with applicable UK data protection legislation.

Electronic Communications

By making a booking, you agree that we may contact you by telephone, SMS, email or app notification in connection with your booking. These communications may include booking confirmations, driver updates, arrival notifications, receipts, payment requests and other important service-related communications.

Customers are responsible for ensuring that the contact details provided at the time of booking are accurate and that they are able to receive communications relating to their booking.

Force Majeure

Beeline Taxis shall not be liable for any failure or delay in performing our obligations where this is caused by circumstances beyond our reasonable control, including severe weather, flooding, road closures, industrial action, acts of terrorism, public emergencies, utility failures or government restrictions.

Changes to These Terms

We may amend these Terms & Conditions from time to time. The latest version will always be published on our website and will apply to bookings made after the revised version has been published.

Severability

If any provision of these Terms & Conditions is found to be unlawful, invalid or unenforceable, the remaining provisions shall remain in full force and effect.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
